Terms, conditions & awards

Modality

Scientific paper, will be the only modality available and may be presented in two different ways:

  1. Scientific communication: oral presentation required before a jury, with or without graphic support.
  2. Scientific poster: oral presentation required before a jury with a poster as graphic support. This form of presentation also implies the submission of the scientific paper having the same requirements as the scientific communication.


A scientific paper is a research paper; in other words, a paper in which the researcher, from a hypothesis and through a specific (qualitative or quantitative) methodology obtains a series of results.

The results obtained respond to the initial hypothesis and are explained through a discussion.

Finally, the paper ends with the conclusions, limitations and proposals for future studies.

Thus, intellectual work aims provide new knowledge and thereby help to advance science and transfer new knowledge to society to make it better.

The papers submitted must be original, that is, they cannot have been published or previously submitted to any competition or contest or be part of an academic paper.

Requirements

A scientific paper can be presented in two different modalities:

  • As a scientific communication
  • As a scientific poster

The presentation of the second format does not exclude the submission of a written scientific paper, with the same requirements as the scientific communication modality.

The conference calendar is unique and therefore regulates participation in both modalities.

Each participating group, regardless of the modality chosen for the oral presentation of their project, in due time, must present the abstract and the written paper (journal article or communication format) within the established deadlines.

In both cases, it must be presented in public on the day of the conference. Maximum duration will be about 13 minutes.

All team members must be present on the day of the conference, to receive the certificate of participation. Therefore, a student’s participation in the preparatory work will not count if they do not defend the work on the day of the conference, unless their absence is duly justified.

Format and structure:

  • Title page: title, authors’ names and university, tutor/director’s name and university
  • Abstract (maximum 450- 500 words)
  • Introduction: hypothesis statement and objectives
  • Methodology
  • Results /analysis: main arguments, analysis of the data obtained, description of case studies, analysis and discussion of other positions on the same subject, etc.
  • Conclusions: propose conclusions based on the arguments or evidence provided in the text of the communication 
  • Bibliographic references used and cited in the paper

The paper must not exceed 8,000 words in total and must contain all the sections listed above.

The scientific poster is a modality highly present in conferences in different disciplines of knowledge, for example, Medicine, Education, Architecture, Technology, Ecology.

In all cases, it is about presenting a research paper. Evaluation of the project will involve having made a rigorous analysis of the issue from the care approach, and that the presentation of the research project is clearly demonstrated. It is not just a question of exposing a subject related to caring, but the that the poster contain all the sections found in a research paper, which are mentioned above. 

The greatest difference between the scientific poster and the scientific communication is the format, as both formats are equally considered research work. For this reason, participation in this modality does not exclude the submission of the written paper.

Who can participate

Any university student who is enrolled in an official degree can participate, taking into account that presenting the communication in a face-to-face manner is compulsory on the day of the conference.

Groups may have a maximum of four participants. Each team must be led by a tutor. If the team cannot find a tutor, the organisation will try to provide one..

Registration and enrolment

All participants must register individually. Registration is free.

Registration procedure:
 

  1. All students must register individually on the Caring for Society in the Age of Artificial Intelligence academic conference form during the registration period (15 October to 27 November 2023).
  2. Timely submission of the background documentation and of the final paper is listed under times and dates.
  3. The Scientific Committee of the conference reserves the right not to accept any papers that do not meet the minimum requirements.
  4. All UIC Barcelona students may earn one ECTS credit for participating in this activity. Students must submit the certificate of participation, which will be provided by the SAC Organising Committee, to their faculty secretary.

Awards

  • All participants who submit an entry to the Caring for the Future conference and who have participated in the event will receive a certificate of participation. UIC Barcelona students who take part in the conference will receive one ECTS credit.
  • A prize will be awarded to the best presentation for the amount of €600 per category and team, to be used to participate in one of the cultural activities or conferences listed below. 
  • The rest of the participants may apply to be beneficiaries of the “Student Academic Conference 2024” awards of Banco Santander, for participation in the same activities.
  • The amount will be paid directly to the organisation responsible for the trip.
  • To access the “Student Academic Conference 2024” awards, the following requirements must be met:
    • Participate in person with a paper at the Caring for Society academic conference and be present until the awards are presented.
    • Exceed the level of quality required by the Organising Committee in the submitted project.
    • Apply for the award through the Banco Santander platform (link).
    • The jury reserves the right to refuse applications for prizes in cases where the work does not meet the minimum quality criteria. Likewise, the prize may be declared null and void if the jury considers it necessary.
    • The “Student Academic Conference 2024” awards will be published on the Santander platform, so it is essential to have previously registered
